The Board of Directors meeting of the Friends of the Kickapoo Valley Reserve was called to order at 5:40pm on Monday, December 17, 2007.  Members in attendance were Brad Steinmetz, Bonnie Sterling, Patti Knower, Marcy West, Chuck Reynolds, Jonel Kiesau, Rebecca Zahm, Brian Turner and Paige Baumgartner.

Brian/Bonnie approved the last meeting minutes of October 1, and the annual meeting minutes of October 27, 2007. Motion carried.

There was no correspondence to report.

 

Treasurer’s Report

Chuck Reynolds presented the end-of-the-year financial report showing a balance of $12383.77 with $1659.35 ear-marked for the “Between Fences” expenses.  Chuck reported that $12600 was our estimated budget expense and $17241 was our actual expense, but the income had increase proportionally due mainly to the large amount of sales made at the Kickapoo Country Fair.

Patti/Bonnie approved the treasure’s report. Motion carried.

 

The 2008 Budget considerations and estimates were looked over and discussed.  Categories, such as Events and Activities – which will include Winter Fest expenses and Misc. – which will include computer expenses were clarified.  Chuck R. asked for people to try and designate which category income and bills may fall under for 2008.

 

The non-stock corporation filing & IRS reporting has been done. On-line state IRS reporting is new.  We now have permanent not-for-profit status.

 

Old Business

There was a brief report on the Spaghetti Supper.  Food ran out before customers stopped coming.  We will look at quantities again during planning for the food in 2008.

The annual meeting and was followed by a delicious supper prepared by Joanne Shird.  It was a small group but terrific food!  We will get the word out before next annual meeting (the last Saturday in October) that there will be a supper following.

Chuck Hatfield is applying for $900 reimbursement from the Nuzum Grant.  He is getting bids for re-publishing the Ralph Nuzum books.

We made $150 on merchandise sales and $400 on the sales of cookies at our annual cookie walk.

 

 

 

New Business

“Between Fences” update: It will cost $450 to bring the exhibit here to La Farge on 12/17.  The kiosks will be put together on 1/8 & 1/9, with docent training on 1/10 at 11a.m.  Free commemorative mugs will be handed out to the people that have helped us, sponsors and staff members.  We will recruit volunteers to help staff on Sundays during the exhibit.

We have a great local exhibit to coincide with the kiosks. Brian Turner will put up a display of his collection of fences paraphernalia.

Opening Ceremony will have introductions of sponsors and local dignitaries by Brad S., Steve Hall will perform music and finger food will be catered.

Bonnie S. will introduce Lynne Heasley on January 12, Brian T. will introduce Rob Nurre on January 19, Church H. will introduce Curt Meine on February 2, Patti K. will introduce Stuart Stotts on February 9, and Brad will preside over the closing ceremony on February 16.

Our Photo Contest was such a huge success!  “The Country Today” newspaper will publish the winning photos according to Meagan Parker. The winning photos will be in the Episcope as well.

Plans were made for Winter Festival with discussions regarding the History Tours, Auction and getting volunteers lined up.

 

Committee Reports

Membership/Recruitment/Volunteers - Brad  put out a plea in the December Newsletter to “join the club again”   There have been several new members already for 2008.

 

Marketing/Sales/Communication – We have a new set of photo prints from Carol Nelson for sale. Close-out prices were put on the remaining t-shirts.  There is no plate for sale yet. We have the mugs for sale for the duration of the exhibit.

 

Finance/Grants/Budget – JEM & WHC grants were successful. The JEM  grant money will be used for advertising and the WHC money will be used to pay for programming expenses.

 

Other Business

Don Nelson from the Prairie Enthusiasts planning committee asked the board to donate $200 to use at the conference at UW-L on March 8. He suggested the board could sponsor the afternoon snack or provide scholarships for college students or anything of our choice. It would showcase the Friends and provide a way to get our message out.

Brian Turner made a motion to donate $200 to the Prairie Enthusiasts Conference in March to be used for scholarships for college students. Paige Baumgartner seconded the motion.          Motion carried.

There was no other business.
