BOARD OF DIRECTORÕS
MEETING
OCT. 13, 2009
The meeting was called
to order by President Fritz Cushing at 7 p.m. Those
in attendance were
Sadie Urban, Fritz Cushing, Chuck Reynolds, Patti Knower,
Bonnie Sterling, Brad Steinmetz,
Janet Kruk, Chuck Hatfield and Nancy
Foudray.
The secretaryÕs report
was approved as amended. Patti Knower/Chuck Reynolds.
The treasurerÕs report
was read, checking $5,398.83, savings $14,823.01,
cash box $50.
Approved as read.

The board will look at
the 2010 budget at the next meeting. The board may
have to establish a
budget committee.
OLD BUSINESS
PHOTO CONTEST –
Janet Kruk asked how many calendars to order. The consensus
was to order 200
calendars and charge $10. She will also make a loop of the
pictures to use at the
ReserveÕs Small Town Christmas celebration. Each
calendar winner will
receive their picture, an 8X10 framed and matted, and a
calendar. She reported
that Al Buss has been very helpful in putting the
pictures for the
contest on the website.
SMALL TOWN CHRISTMAS
The two Best of Show
winners for the photo contest will be announced at the
String Ties show. The
Friends will be making a recording of "The Fatal Oak"
and will ask Rick
Danielson to help with the audio. The cookie walk will be
co-ordinated by Paige
Baumgartner. Patti Knower will help. Fritz will check
with Becky Zahm and
Dave Russell about refreshments for Sting Ties. If
Friends want to renew
their membership or become a new member, the evening
of the Sting Tie
performance, there will be a $5 discount. Chuck Reynolds
brought up a concern
about charging for the Sting Ties. He said we would
have to pay taxes on
that money and he was concerned about our nonprofit
status. It was the
consensus of the board to have a free-will offering at
the door.
ANNUAL MEETING AND
APPRECIATION DINNER – The FriendÕs annual meeting is Oct.
24, 2009, at 5 p.m. at
the Kickapoo Valley Reserve Visitors Center. Brian
Turner and Paige
Baumgartner declined another term on the board. The
nomination committee
is Brad Steinmetz, Fritz Cushing and Chuck Reynolds.
Nancy Foudray and
Janet Kruk have expressed interest in becoming board
members. Fritz will
get a cheese tray for the meeting. The 2010 annual
meeting will be Oct.
23. The invitations for the dinner went out today via
e-mail.
DAM
CHALLENGE-SPAGHETTI SUPPER
The Friends made
$1,100 on the spaghetti supper. Sadie Urban handed out an
information sheet on
the Dam Challenge. There will be a debreifing this
Thursday.
FRIENDÕS OFFICE
– Fritz reported the laptop would have to be reconfigured
for use at the
Reserve. Chuck Hatfield wanted some discussion on priority of
how things would go
into the new archival system. During the discussion it
was decided to start
with the contacts-membership portion of the program.
COLLECTOR PLATES
– Chuck Hatfield said the price of the plates has gone up
and he was not
convinced any of the pictures from the contest would adapt to
a nice looking plate.
The consensus was to adopt a wait and see. The
calendar would be
alternative to the plate this year. Chuck said he did like
the idea of mugs.
Nancy Foudray asked perhaps we could frame some of the
pictures from the
contest and sell them.
OTHER OLD BUSINESS
Patti asked about the
archival things that were on Brian TurnerÕs computer.
Chuck Hatfield said
the FriendÕs would receive them and also the last batch
of pictures from the
Corps of Engineers.
NEW BUSINESS
SPRING FLING –
The group wants the date of Saturday, May 22 if it is OK with
the Reserve. Fritz
will be the contact person.
NUZUM GRANT –
Chuck Hatfield questioned if we wanted to do a grant as we had
income of $29,000 this
year. He said there were certainly things we had on
the plate and we have
publishing things to put on it.
After a discussion
about input into the new archival system, it was felt
that with volunteers
there would be a lack of quality control and
consistency. A
motion was made the FriendÕs hire someone to do the archival
input. Chuck will
write a grant for the estimated amount. Bonnie
Sterling/Patti Knower.
COMMITTEE REPORTS
– Fritz said he has met with the committees. There are no
members on the
Project-Events Committee at this time.
Membership –
Patti Knower and Paige Baumgartner
Volunteer coordinator
will not be responsible for every event all year. The
committee needs to
make volunteers aware of volunteering opportunities with
the calendar and in
the newsletter. They also need to know if a volunteer
wants to do specific
tasks. The membership form can be liked to the new
system. Patti and
Paige will co-ordinate the cookie walk for The Small Town
Christmas.

When we sell out of
T-shirts, we will not order any more. Suggested we cut
the price of a water
bottle to $12. The committee will inventory twice a
year. The coffee is
selling well. Sadie Urban suggested a zipper vest with
Friends logo, patches
and coffee cups. Anything developed for marketing,
must go through the
committee before it is put on sale. We do need items for
kids.
Communications –
Brad reported there was a tremendous volume on the website.
Al Buss has been very
helpful. Brad has a blog site that mentions local
history. He will link
to the Friends site.
Janet said the
newsletter would come out in November publicizing String Ties
and Winter Festival.
The board talked about an e-mail site, but the question
was asked who would
take care of it?
Finance-Budget –
Chuck Reynolds
The board discussed a
possible category for Friends membership as a
supporting member at
$15. There would be no pass and no newsletter. Motion
by Chuck Reynolds/Brad
Steinmetz.
Nancy Foudray asked if
people were buying membership but not using the
passes. After a
discussion, it was tabled for future reference.
The next meeting will
be Dec. 8, the reorganization of the board.
